Complaints move faster, the front desk looks calmer, and nobody argues about who was supposed to call housekeeping. But a feeling will not survive a finance meeting.

This article gives you the four numbers that prove a rollout is working, what moves each one, and when to expect the movement. Bring your own baseline and you walk into the room with proof that belongs to your property, not a vendor’s average.

Why the first 90 days settle the argument

Ninety days is long enough for a team to stop treating a new system as extra work. It is short enough that nobody has forgotten the old way.

Day 30 shows whether staff are using the system. By day 60, you can tell if the habits have stuck. Guests start to notice by day 90. Each checkpoint answers a different question, so measure at all three.

Response time moves first

Response time is the fastest number to change because the system removes the waiting. A complaint used to arrive by phone, at the desk, or on WhatsApp. Someone wrote it down, or didn’t, and then someone tried to find the right department.

Now automatic assignment sends each complaint to the right person the moment it is logged. The rule engine handles the routing you set once. When a task sits too long, escalation policies push it to a manager by SMS, WhatsApp, or the Geedesk mobile app. Staff do not need a smartphone either, since Geedesk works on feature phones.

So the first number to check at day 30 is the time between a guest raising an issue and a staff member acknowledging it. If that number has not shrunk, the problem is almost never the software. Look at whether complaints still travel by phone call and never reach the system.

Review scores follow, but later

Guests often post a review weeks after they stay. A complaint you fixed today may not show up in your rating until next month. That is why review movement belongs at day 60 and day 90, not day 30.

The link between guest reviews and revenue is well documented. Research from Cornell’s School of Hotel Administration ties stronger review scores to better pricing power and higher revenue per available room. A rating that climbs slowly can still pay for itself.

The mechanism here is simple. A guest who complains and gets a fast, visible answer writes a different review than a guest who hears nothing. VIP and VVIP alerts add to this, because your most valuable guests reach the right manager before they reach a review site.

Track your score on each major platform separately, and record it before go live. A rating can also move for reasons Geedesk has nothing to do with, such as a renovation or a new competitor nearby. Note those events when they happen so you can explain the data honestly.

Staff time comes back where nobody measured it

This is the number GMs forget to track, so it never makes the slide. Supervisors and front office managers spend part of every shift chasing updates. One walks to the third floor to confirm a repair. Another calls housekeeping to ask if a room is ready. Someone else re-explains the same complaint to three people.

None of that looks like waste, because the people doing it are working hard. It is just work the system can do for them.

With Geedesk, task status shows on the screen. The GM dashboard and Manager dashboard show open items, who owns them, and how long each has been open. Staff stop asking each other for updates because the answer is already there.

Here is a simple way to size it. Say a supervisor spends one hour a day chasing updates. That is about 365 hours a year for one person. Ask your supervisors for their own estimate during the baseline, then ask again at day 90. The difference is the number you take to finance.

Task resolution shows whether the work finished

Response time tells you how fast someone started. Resolution tells you whether the problem got solved on time. A fast first reply followed by a task that sits for two days still produces a bad review.

Geedesk makes the finish line visible. Every task has one owner and one deadline, and every missed deadline triggers an escalation. Managers see overdue work before the guest has to chase it.

Measure the share of tasks closed within your target time. Set that target before go live, or you will be tempted to move it later. A rate that climbs between day 30 and day 90 tells you that ownership is working and that escalations are reaching the right people.

Where results differ between properties

Not every property will move at the same pace. A few things explain most of the gap.

Adoption matters most. Properties that keep a WhatsApp group running on the side split their complaints between two places, and the data suffers for it. The strongest rollouts treat Geedesk as the only place a complaint lives.

Starting point matters too. A property with very few complaints before Geedesk has less room to improve, while one drowning in complaints has more.

Team habits matter as well. If managers ignore the escalation alerts, the alerts stop meaning anything.

Naming these limits makes your internal case stronger. Your owner will find them anyway, and it helps to say them first.

Build your day 90 scorecard before you go live

Take two weeks before launch and record four things:

Your average time to first response.

The share of tasks closed within your target time.

Your score on each major review platform.

The hours your supervisors spend chasing updates in a normal week.

A shared sheet is enough. Do not wait for perfect data, because a rough baseline beats none.

Then measure the same four things at day 30, day 60, and day 90. Put them side by side in one page. That page is your ROI case, and it carries more weight than any average we could hand you, because it comes from your own guests and your own team.

If response time has not moved by day 30, check adoption before anything else. Ask your front desk how many complaints they still handle by phone.

See what the scorecard could look like at your property

Every property starts from a different place. Book a demo with the Geedesk team, bring your complaint volume and your biggest pain point, and we will show you where the first gains usually appear.

Your owner will ask one question in the next budget review: what did we get for the money?
